Integrated Management Systems
The Integrated Management System (IMS) have been developed against the requirements of ISO 14001:2015 and ISO 45001:2018 Standards, legal and other regulatory requirements. It covers all the main elements of both the standards.
Another purpose of this manual is to notify our customer, dealers and other interested parties about our continual improvement progress towards environmental conversation and workplace safety standards.
It provides the framework to enable safety, health and environmental (HSE) risks to be understood, and mitigation measures developed, implemented and appropriately managed. Collectively, the IMS will assist the company and its operations to comply with relevant legal requirements, the IMS Standards and other obligations in a systematic and structured framework. The IMS constitutes a flexible management approach that can readily accommodate the changing needs of HPML and its operations.
The requirements of the Integrated Management Systems is described in this Manual and supporting procedures and plans. The system is developed in a manner that is commensurate with available resources and the nature of the activities being conducted, and in context of the external and internal factors that affect and influence the company. It is periodically updated to ensure that it remains responsive to changing environment, Safety and health Management needs, taking into considering the needs and expectations of the stakeholders
Leadership:
Top management demonstrate their commitment towards the effective implementation of Integrated Management Systems by ensuring availability of resources essential for its establishment and maintenance. It is their obligation to ensure that the system is synchronize along with business processes and HML requirements.
They review the system at specific intervals to ensure the continuing suitability, adequacy and effectiveness of the system.

Communication
Hinopak has established and developed internal/ external communication system to ensure that the employees are well aware of the purpose of complying with IMS policy, procedures and values of achieving objectives & targets. HSE in consultation with departmental heads communicate information regarding both Safety and EMS processes and their effectiveness through trainings, memos, corrective/preventive processes, and regular formal and informal communication HSE dept. handle communication related to legal and other requirements. This includes correspondence with different legislative agencies and interested parties on regular basis. Responses of all these communications are sent on timely basis.
The dept. is also responsible for handling and investigating all kinds of environmental and Workplace Safety related complaints and is responsible for complaint communication to interested parties.
HSE Dept. is overall responsible for internal and external communications to employees and interested parties on regular basis.
Internal Audit
Hinopak assesses the performance and continuing effectiveness of the Integrated Management System through audits. Established process by which the IMS can be continually improved by reducing significance environmental impacts and Safety risks, & ascertain whether the IMS conforms to plan arrangements, including requirements of the standards.
Audits are conducted to evaluate compliance with legal & other requirements, conformance with policy, standards, IMS documents and other requirements of the Integrated Management System.

Hinopak Motors Limited developed and implemented the Environmental Management Systems against ISO 14001:2015 standard, to improve its EMS systems, and to reduce the impact of operations, activities, products and services on the environment.
The system commits to continual improvement and ensures that interested parties are considered while setting policy and objectives. We provide leadership to manage the system and communicate it throughout our organization. The system complies with all regulatory requirements, needs and expectations of interested parties including the Hinpak’s compliance obligations and the relevant external and internal issues to the extent that they impact our EMS, processes, products and services.
The system is planned, implemented and reviewed while considering the context of our organization and all significant aspects are reviewed. Effectiveness is measured through internal/ external audits, Env. Accident reporting and management review
Leadership:
Top management is accountable for the effective implementation of Environmental Management system, approving both policy and objectives after taking into consideration the context and strategic direction of the company. They ensure availability of resources essential to establish, implement, maintain, and improve the Environmental Management System. Communicate, the importance of EMS through active demonstration and participation, and review the system at specific intervals to ensure the continuing suitability, adequacy and effectiveness of EMS.
Environmental Communication
Hinopak has established and developed internal/ external communication system to ensure that the employees are well aware of the purpose of complying with EMS policy, procedures and values of achieving objectives & targets. HSE dept. communicates information regarding EMS processes and their effectiveness through trainings, memos, corrective/preventive processes, and regular formal and informal communication.
Company’s newsletter, internal mails, bulletin board, financial annual report and web-site are used to communicate environmental policy, significant aspects.
EMS Audit:
Hinopak assesses the performance and continuing effectiveness of the Environmental Management System through audits. Established process by which the EMS can be continually improved to reduce significance environmental impacts & ascertain whether the EMS conforms to plan arrangements, including requirements of the standards.
Audits are performed at appropriate intervals to evaluate compliance with legal & other requirements, conformance with policy, standards, EMS documents and other requirements of the Environmental Management System.
Continual Improvement:
We have taken different measures to determine and identify opportunities for the improvement of EMS system, as well as its effectiveness. These include but not limited to actions taken against high significant environmental aspects, handling of neighboring complains (if any), promotion of environmental conservation and protection activities. Improvement in the system can also be measured by the Leadership commitment, involvement of employees in EMS activities, consideration of environmental protection during designing and purchasing stage. Regular monitoring of legal compliances, and environmental accident reporting
Continue review of EMS objectives with the aim to improve the system is also considered as part of continual improvement.

Environment
Environment management System
Hinopak conducted its Initial Environmental Review (IER) in the year 2001 to ascertain its capability for adopting ISO14001 standard. In a very short span of time Hinopak management adopted ISO14001 management system and became the first automobile company in Pakistan to get this qualification.
Hinopak in its mission to promote activities that reduce environmental impacts and as directive from the principal Hino Motors Japan acquired ISO 14001:1996 in 2001. In 2005, we successfully upgraded our ISO 14001:1996 Standard to new ISO 14001:2004 Standard and again became the first automobile company in Pakistan as well as in Hino Group to achieve this qualification worldwide.
Environmental Audits
Regular audits are conducted to ensure that our EMS is in line with ISO 14001:2004 international standard and is properly implemented and maintained. Top management reviews results of audits on regular basis to verify that the Hinopak EMS spiral up continually.
Two days EMS Internal Audit Training was held on 6-7 June 2007 to develop team of auditors, whose expertise would be utilized for the effective execution of audits.
During Sept. 2007, recertification audit was conducted in which no major or minor nonconformity was registered.
Training and Awareness
At Hinopak, various educational activities are organized to give environmental awareness to employees, suppliers and customers. We make it a point that our people develop greater consciousness and sense of responsibility towards the environment. Trainings related to Operational Control, Energy Conservations and Emergency Response are on our regular agenda. Every new employee whether appointed in management or worker cadre is given orientation on EMS.
Country wide free services and tune-up camps are regularly organized to educate the general transport customers on the need to maintain healthy environment. Such activity demonstrates our commitment to a better environment and road safety.
We organize technical training program free of cost free of drivers and mechanics. Topics range from Road Safety to Vehicle Maintenance, etc. to inculcate consciousness for safe, optimum, pollution free performance of our products

In our effort to ensure that our commitment to the environment pays off quickly in practical results, it is essential to get stakeholders to understand our business activities and to build strong bonds of cooperation. Effective communication is the most powerful way of bringing this about.

OHSAS 18001
OCCUPATIONAL HEALTH & SAFETY MANAGEMENT SYSTEM (ISO 45001:2018)
Hinopak Motors Limited developed and implemented the Occupational Environmental Management Systems against ISO 45001: 2018 standard, to improve the OH&S management systems and to enable organization to provide safe and healthy work places by preventing work related injury and ill health as well as by proactively improving its OH&S performance.
The system commits to continual improvement and ensures that interested parties are considered while setting policy and objectives. The system complies with all regulatory requirements, needs and expectations of interested parties including the compliance obligations and the relevant external and internal issues to the extent that they impact our OH&S Management systems.
The intended outcomes of OH&S systems include;

b) Fulfilment of Legal and other requirements
c) Achievement of OH&S objectives
Leadership and worker Participation:
HPML top management demonstrate their commitment towards the effective implementation of Occupational Health & Safety Management Systems via following steps;
a) They are responsible for approving both OH&S policy and objectives after taking into consideration the context and strategic direction of the company.
b) They ensure that OH&S system is synchronize along with business processes and HML requirements.
c) A specific Safety budget is allocated to all divisions to ensure OH&S Management system is establish, implement, maintain on company wide basis.
d) All the safety related decisions are communicated via top management with mutual consultation with Hinopak Employee Union.
e) Hinopak top management review the OH&S system at specific intervals to ensure the continuing suitability, adequacy and effectiveness of the system.

OH&S Audit
Hinopak assesses the performance and continuing effectiveness of the Occupational Health & Safety Management System through audits. Audits are performed to evaluate compliance with legal & other requirements, conformance with policy, standard, OH&S documents and other requirements of the Occupational Health Safety Management System.
It help in continuously improving significance hazards and ascertain whether it conforms to plan arrangements, including requirements of the standard.
OH&S Awareness & Education:
In Hinopak, we ensure that personnel, whose work has the potential to cause significant hazards, are competent on the basis of appropriate education, training and experience. This also include suppliers and contractors, working at our premises.
The training modules covers awareness and education on OHS Policy, Legal & other requirements, significant risks and hazards, deviation from Operational Control Procedures, HML received Accident Reports etc. which need to be well communicated to workers and interested parties including suppliers and contractors.
Safety Dojo (Training) Center in established in order to provide employees the First Hand Feel of Work Place Hazards, as well as to make them aware of the consequences of departing from OH&S Management systems and their roles and responsibilities in enhancing workplace safety culture in the organization.
It is a common practice in Hinopak that One time Inspections and awareness sessions are conducted in company wide basis, against the accident reports received from Hino Motors Japan
Workers are also encourage to identify any potential hazards related to their job and surroundings and notify to their supervisor via Workers Feedback Card and Stop Call Wait activities.
Communication
Hinopak has established and developed internal/ external communication system to ensure that the employees are well aware of the purpose of complying with OHS policy, procedures and values of achieving objectives & targets. The related information is share via trainings, memos, corrective/preventive processes, and regular formal and informal communication. Moreover, suppliers and contractors, whose work have an impact on HPML safety activities, are also communicated about relevant safety matters via training and education.
Communication related to legal and other requirements are handled by HSE Dept. This includes correspondence with different legislative agencies and interested parties on regular basis. Responses of all these communications are sent on timely basis.
Continual Improvement:
We have taken different measures to determine and identify opportunities for the improvement of OH&S Management system as well as its effectiveness. These include but not limited to actions taken against high significant OH&S hazards, Accidents/ incident reports, promoting of workplace safety culture, enhancing of workers participation in improving OH&S systems, effective internal and external communications to employees and interested parties. Improvement in the system can also be measured by the Leadership commitment, involvement of employees in OH&S activities, consideration of safety requirement in design development, and procurement stages. Regular monitoring of legal compliances, and accident reporting. Continue review of OH&S objectives with the aim to improve the system is also considered as part of continual improvement.

Hinopak successfully accredited to safety management system OHSAS 18001:2007
Hinopak has successfully achieved accreditation to safety management system OHSAS 18001:2007.
OHSAS 18001 is a Health and Safety Management System, developed to assist in the reduction and prevention of accidents and accident related loss of lives, equipment and time.

International certifying body for the management systems, M/s. Bureau Veritas certification have evaluated OHS Management system of Hinopak during their three day audit and declared it compatible with the OHSAS 18001:2007 standards and recommended issued the certificate on July 11, 2008.
Successful accreditation to OHSAS 18001 is not only another feather in the hat of Hinopak but it also demonstrates the commitment of the management towards a safer working environment and for the protection of employees against injuries at work
